These Terms of Service govern your use of Compliance HQ, a software product owned and operated by Appcovi (432 Wheat Road, Beaufort SA 5550, Australia). By creating a workspace or using the Service, you agree to these Terms on behalf of yourself and any organisation you represent.
Who can use Compliance HQ
You must be at least 18 years old and legally able to enter a contract. You are responsible for keeping your login credentials confidential and for all activity in your workspace.
Your content stays yours
You retain full ownership of every training document, staff record, quiz answer, signature and file you or your staff upload (“Your Content”).
You grant Appcovi a limited licence to store, process and display Your Content solely to operate the Service on your behalf — extracting text from a PDF to build the quiz, translating a question into a staff member's language, or generating a certificate.
You are responsible for ensuring you have the right to upload any document, staff detail or photo, and that your use of the Service complies with employment, workplace-safety and privacy law where your team operates.
Acceptable use
You agree not to: (a) upload content that is illegal, infringing or malicious; (b) attempt to break, probe or overload the Service; (c) resell the Service without a written agreement with Appcovi; (d) use the Service to impersonate a regulator or issue fraudulent certifications.
Paid plans, billing and refunds
Plans and pricing are shown on the Billing page inside your workspace and on the public pricing section of the marketing site. Subscriptions are billed via Stripe; adding or removing staff during a billing cycle adjusts your next invoice on a prorated basis.
You may cancel any time. Cancellations take effect at the end of the current billing period; we do not pro-rate refunds for partial periods unless required by Australian Consumer Law.
Free plans (1–5 staff) remain free indefinitely and carry no obligation to upgrade.
AI features and human oversight
Compliance HQ uses third-party AI models (currently Google Gemini via Emergent LLM) to extract fillable questions from PDFs, translate content into 16 languages, and grade short-answer responses. AI outputs are generated automatically and may occasionally be inaccurate. You remain responsible for reviewing each sign-off before countersigning it — the owner countersign step exists for exactly this reason.
Service availability
We aim for high availability but do not guarantee an uptime SLA on free plans. Enterprise customers may request a written SLA. Scheduled maintenance is communicated in advance via the workspace notification banner.
Data export and account deletion
You can export your training matrix as CSV at any time from the Dashboard or Matrix page. On written request to appcovi2026@gmail.com, Appcovi will provide a full export of Your Content and, on account closure, permanently delete Your Content within 30 days (subject to any legal-hold obligations).
Warranty disclaimer
The Service is provided “as is”. To the extent permitted by law, Appcovi disclaims all implied warranties and is not liable for indirect, incidental or consequential loss. Nothing in these Terms limits any rights you have under the Australian Consumer Law that cannot lawfully be excluded.
Changes to these Terms
We may update these Terms as the product evolves. Material changes will be notified in-app at least 14 days before taking effect. Continued use of the Service after the effective date constitutes acceptance.
Governing law
These Terms are governed by the laws of South Australia, Australia. Any disputes will be handled by the courts of South Australia.
